Software Update Announcement 2018

Dear Valued Customer,

We are pleased to announce the official release of V2018 of Campus Café.  Version 2018 contains many new features as well as improvements to existing code. 

We have added an additional 10 new institutions to our client base and our continued growth assures that our product will continue to evolve as a leading provider of ERP software to the educational community.  Our cloud solutions provide full capabilities for customers who choose not to build or maintain their own infrastructure.

The release attached will include more detailed lists of enhancements and fixes. The notes are broken down into separate attachments so that users can review enhancements, with more technical items (database changes, system parameters, etc.) available in separate documents on our web site under release notes.  There is also a video that outlines new functions.

For our On Premise Customers, please note V2017 will only be functional until February 28, 2018 and that V2018 must be installed by that date.  It is strongly recommended that you request a download of V2018 from our help desk so that you can begin testing and getting familiar with the new version as soon as possible.  Our help desk will assist you with installing new versions in your test or production environments.  Setting up and maintaining the test environment is the responsibility of the customer.

For on premise installations, the following are Recommended Minimum Specifications for hardware, software, and operating systems:

OS : 64-bit Windows Server 2012

SQL : 64-bit SQL Server 2012

TOMCAT : 64-bit Tomcat 8.0.36

Crystal Reports : 2013

Crystal Reports Reader : Saber Logicity 

It is recommended that all users review the section for new Custom Controls and Permissions.  In many cases this helps to discover new features and functions.  Please remember that new Permissions are set to “no access” by default so it is important to make sure you are given access where applicable by your system administrator.

SSRS Reporting

Announced in V2017, Campus Café now supports additional SSRS reporting. We are including this section here to highlight the many new reports available in the SSRS base reports. SSRS(Sequel Server Reporting Service) is a tool available in the visual studio suite that allows development and deployment of sophisticated reports.  The advantages of this approach include:

  • Easy web deployment of reports.
  • No need for client based development tools.
  • Included with MS SQL with no additional license fees.
  • New feature in People Finder that allows exporting of student ids that are available in SSRS as input.
  • The base reports can be accessed through a URL. Our default access to these reports is typically using a custom link on the faculty/staff menu.  We continue to replace existing base Crystal Reports with SSRS reports including IPEDs reports.  (see list in reporting detail section).  In cases where the report has not been replaced, the existing reports can still be found in the client reporting menus or accessible through your file system.
  • Campus Café Web now provides the ability to view database table and column names when hovering over a field. This is permissions based.

User Interface

Major changes and improvements have been to the user interface (UI) has been implemented for V2018.  This includes the following:

  • New Navigation bar for DELETE, CANCEL, SAVE, AND SAVE AND BACK. This is intended to streamline navigation throughout the application.
  • Filters that can be saved and shared with multiple users.
  • Grids with column visibility feature and shared saved grid feature. This will allow departments or individual users to create specific fields, field order, sort order, and # of results. This can become a sophisticated reporting tool which will replace many base reports.
  • All Finders now have an ID Number search field that allows “not one of”. This can be used in conjunction with activity tracking or other finders to get “not exists” lists.  For example, you could feed a list of activity tracking ids into the student finder and thus get a list of all enrolled students who do not have that particular activity.
  • Editable Pages. These pages allow the user to select records from the grid and edit all records simultaneously through 1 page.  This will save significant time if editing similar fields.  A good example is the financial aid/payment plan disbursement rules interface on the student financials menu. 
  • Other UI improvements include standardization of labels such as “Submit”, “Continue”, “Filter”, “Start Over”, etc. We will generally use “Submit” as a default.

Functions that have been moved from the Campus Café Client to the web interface will be noted with **. 

Admissions Interface

  • Added Dashboards to admissions finder for progress code (funnel) reporting.
  • Added Dashboards to activity tracking filter to graphically display results of sources or other activities.
  • Add inquiry date range and apply date range to inquiry/applicant finder. Date selections have now been replaced with calendar pop up.

Alumni/Development/Career

  • Alumni/Development - Added gift entry interface on web. Allows for easy entry of gift in one step through web based interface. 
  • Add Gift Finder Page - Allows for sophisticated searches for gifts by time period, fund, appeal, designation (gift purpose), campaign. **

Attendance

  • Attendance warnings (class not in session e.g.) can now be overridden with permission.
  • Attendance dates table can now be run as a nightly task.

Student Financials

  • Allow deletion/update of unposted A/R transactions on ledger card. This allows much easier maintenance especially if transactions are posted in error.  Please note that you can only delete transactions or change the transaction code/amount/date if the period has not been posted to the GL to prevent a mismatch between the subsidiary and general ledgers. 
  • Due to the required NSLDS requirements and ease of reporting student status, we are recommending changes to the current degree row status to ensure accurate reporting. This includes limiting and mandatory hard coding of the following codes (E=Enrolled and A=Active-not enrolled automatically controlled and updated by the system, Y=Graduated/Conferred, W= Withdrawn, C=Completion, I=Inactive degree row used to mark inactive rows when new programs are started). See documentation for additional details.  We recommend using activity tracking for file for degree candidates.  This will keep the degree status limited to student status.
  • Please note that the clearinghouse NSLDS reporting has an option to use the status date or the graduation date as the data graduated if the status is C(Completed) or Y(Conferred). This is important if there is a gap between the completion date and the graduation date where the completion date must be reported in that case.
  • Financial Aid code (FAWCOD) maintenance moved to web. **
  • Add payment plan schedule to payment page. Custom controls can be set to govern which outstanding payments appear.

Financial Aid

  • Add tracking batch from disbursement roster. This allows for easy mail merge or email merge to send payment reminders.   

General Ledger

Added system batch number processing and column to Journal Entry cycle so can be passed through posting.   Tested on AP, AP checks and JE batch. This audit trail can be used to retrieve a distinct batch.

Miscellaneous

  • # of Results now saving in 'Saved Filters'.  This field is saved along with other filter data for future retrieval eliminating the need to specify a result greater than the default.
  • All Finders now have an ID Number search field that allows “not one of”. This can be used in conjunction with activity tracking or other finders to get “not exists” lists.  For example, you could feed a list of activity tracking ids into the student finder and thus get a list of all enrolled students who do not have that particular activity.
  • New Permissions/Restrictions that control ability to Save/Delete filters or grid state on People Finders and share those filters or grids with other users.

Registration/Student Services

  • Seat count view replaces seat count in course table to ensure synchronization with enrollments.
  • Available course list no longer refreshes between each add/drop to improve performance.
  • Deleting an enrollment will delete all corresponding gradebook records if the message is answered.

Added many new filters to filter options including:

  • Citizenship status
  • Citizenship Country
  • Degree row start, mid, and ending dates
  • Previous School
  • Relationship start and end dates
  • Relationship Salary
